Key Responsibilities:
The PMO & Transition Manager is responsible for overseeing the successful ramp-up of the GBS center, as well as managing future scope expansions. This role involves detailed project planning, resource management, and execution of transition and change management strategies.
* Project Management & Planning:
* Develop detailed project and resource plans for the initial ramp-up of the GBS center and future scope extensions.
* Develop and maintain a comprehensive risk management plan to mitigate potential roadblocks.
* Collaborate with department leads to ensure alignment of the GBS center's growth with business objectives.
* Transition & Change Management:
* Manage and steer the transition manager team, allocating resources in line with the transition plan to meet the overall transition timeline.
* Execute transition strategies, ensuring smooth integration of new processes and effective change management.
* Monitor and address potential resistance or challenges to change across departments.
* Ensure all new processes and systems meet quality and compliance standards during the transition.
* Collaborate with other PMO offices for a streamlined approach and knowledge exchange.
* Reporting:
* Prepare regular status reports and updates on transition progress, risks, and performance for leadership and key stakeholders.
* Create transparent communication pathways to share real-time updates with relevant stakeholders.
* Regularly review and update project documentation, ensuring it is aligned with ongoing transitions.
* Communication Facilitation:
* Establish and maintain regular communication and feedback loops between headquarters and GBS centers to ensure alignment.
* Serve as the point of contact between cross-functional teams to address issues and share best practices.
* Training & Onboarding:
* Coordinate with HR and department leads to develop training programs for new hires transitioning into the GBS.
* Oversee the creation of onboarding materials and process documentation to ensure new employees are equipped to succeed.
* Lead workshops and training sessions on new systems, tools, and processes for teams undergoing transitions.
What We Are Looking For:
* Education and Experience Requirements:
* Bachelor’s degree in Business Administration or a related field.
* Minimum of 3 years of experience in project management, change management, or transitioning functions within a GBS or shared services environment.
* Proven experience in managing large-scale transitions, including ramp-up and process migrations; experience in an international environment is a plus.
* Skills and Competencies:
* Strong project management skills, including resource planning, timeline management, and risk mitigation.
* Excellent change management and transition planning abilities.
* Strong communication and stakeholder management skills, with the ability to work across different departments and geographies.
* Problem-solving and analytical thinking.
* Proficiency in project management tools (e.g., MS Project, Jira) and collaboration platforms.
* Certification in Project Management Principles or Lean/Agile is a plus.
Additional Information:
* Ability to manage multiple projects and deadlines simultaneously.
* Language proficiency: English (B2); knowledge of German is a plus.
* Willingness to travel as required for transition activities.
