Shore Excursion Manager (M/F) - Seagoing Position - German Speaker

General Responsibilities
1. Recommend and sell tour activities to Guests and offer suggestions and recommendations regarding all ports of call.
2. Escort and participate on tours as needed to ensure the tour operates to the Guest’s and Mystic Cruise’s standards.
3. Manage the Shore Excursion Team and the daily Tour Office operation, ensuring that the desk is manned at all times when the office is open.
4. Answer any Guests' questions regarding tours, ports or individual private requests in a courteous and professional manner.
5. Conduct regular Shore Excursions Presentations to the guests with PowerPoint to stimulate sales.
6. Provide Guests with the most updated information regarding tours (such as changes, cancellations, etc.) in a timely manner.
7. Send out Tour Order Forms to all In-Transit Guests prior to the beginning of the upcoming cruise.
8. Check and be responsible for any material distributed to the guests from the Shore Excursion Department.
9. Ensure Booking forms and any relative material is printed and supplied to the Housekeeping department for delivery into the cabins.
10. Liaise with relevant Department Heads about the number of Guests participating on tours.
11. Attend functions/social events onboard to increase guest interaction and help with onboard ratings.
12. Cross-train the Assistant Shore Excursions Manager for vacation cover or for promotion.
13. Prepare disembarkation groups and send out luggage tags with letters for each cruise.
14. Other responsibilities as assigned.
Operational Responsibilities
1. Ensure that every bus or tour group is escorted and that the onboard team organizes the escorting duties as required.
2. Follow proper communication procedures to keep all onboard departments and shoreside management updated.
3. Report any Maintenance issues in work areas in a timely manner.
4. Adhere to all Company Policies and Procedures, Manuals, and Directives.
5. Maintain all records and upcoming voyages in MXP as needed.
6. Be responsible for the daily dispatching of tours and coaches in each port of call.
7. Communicate daily with Tour Operators for each port to ensure all arrangements are in place.
8. Prepare items such as tour packages, briefing materials and manifests to ensure tours run according to guest satisfaction.
9. Create Port Description sheets for each port of call.
10. Research, write and record lectures for broadcasting.
11. Create the Tour Order Forms for current & upcoming cruises.
12. Ensure all handover notes are completed and that at least the next 2-3 voyages are set up in MXP.
13. Be cost conscious with the use of office supplies and other consumables.
14. Ensure that Company property is maintained properly.
15. Oversee day-to-day accounting procedures.
16. Complete and sign all Tour Operator Invoices in each port.
17. Complete relevant revenue & voyage reports in a timely manner.
18. Ensure all charges and accounting issues are correct prior to disembarkation.
Team Communication and Meetings
1. Attend relevant HD meetings to ensure the current and following cruise is organized.
2. Attend department head meetings each cruise and review the current and upcoming cruises.
3. Liaise with department heads and Cruise Director for any operational assistance required.
Safety Responsibilities
1. Practice Safe Lifting Techniques at all times.
2. Follow instructions noted on Safety Card.
3. Participate in Guest/Crew Lifeboat Drills as per instructions.
4. Other safety responsibilities as assigned.
Education/Position Requirements
1. College Degree/Diploma beneficial.
2. Hotel or Tourism School beneficial.
3. Good geographical knowledge of the world and ports of call.
4. Minimum of two (2) years’ experience as Shore Excursion Manager onboard a four (4) or five (5) Star ship.
5. Experience in preparing and conducting live presentations of Shorex Excursions.
6. Fluent in written and spoken English and German.
7. Excellent interpersonal and public communication skills.
8. Very good administrative skills (proficient in Microsoft 365, Outlook, Word, Excel, and PowerPoint).
9. Very good organizational skills and ability to multi-task.
10. Ability to interact with all levels of people.
11. Remain calm under pressure.
12. Service-minded with an outgoing, charming and friendly personality.
