Job Description
Responsible for managing Expatriates relocating into different regions during an International Assignment from assignment start until repatriation, including post-assignment topics, in accordance with labor law, international social security and tax regulations with consideration of company internal rules and procedures.
Responsible for assignment briefings with the Expatriates, to clearly explain the relevant assignment policies, assignment packages, applicable benefits and initiate vendors' support.
Contact person for the internal and external interfaces during the assignment process (HR business partners, managers, relocation provider, tax consultants).
Regular review and adjustment of salary calculations and benefit packages for assigned employees, as required.
1. Global Mobility Coordination
Oversee end to end assignment process for assignees.
Coordinate with relevant stakeholders (internal and external) to ensure smooth relocation process.
Prepare Cost Estimate, contracts, assignment package for assignees.
Responsible to communicate updates/changes to assignee and HRBP relating to international assignment.
Instruct payroll changes timely to home/host HRBP and payroll contacts accordingly.
Point of contact for assignees during their assignment duration and also for post-assignment topics.
Develop solutions for complex assignment topics.
Participate/Involvement in other Global Mobility projects and tasks outside of daily Mobility operations.
Assist in training and coaching junior specialist in the location.
2. Governance and Compliance
Ensure Global Policies/Standards are followed for the International Assignments.
Exception requests have to be logged in and follow proper process for review and approval.
Ensure proper documentation are kept (i.e., signed assignment contracts, signed housing leases etc.) relating to the assignment.
Regular review on Global Policies and Assignment process in assigned locations. To come up with solutions and make necessary adjustments in accordance with Global Processes.
Regular internal checks on payroll/net calculations/documentations for the region.
3. Internal/External Relations
Main contact point for Assignment related topics with assignees / HR Business Partners / External Vendors.
Responsible to ensure external vendors are supporting the relocation move in a timely and proper manner.
Provide relevant updates to internal stakeholders on the assignment move and assignment updates as required.
Country responsible for assignment locations - updates on Country information, training for new HR contacts in the location.
Review external vendors processes from time to time to reduce duplication and increase clarity and efficiency.
4. Data Quality and Administration
Reporting requirements, maintenance and data quality in internal databases (Mobility Systems).
Ensure minimal errors in assignment packages and payroll updates.
Conduct regular spot checks on data quality in the internal databases.
Take on Project lead roles, as required relating to internal Mobility process or process improvement.
Qualifications
Minimum Bachelor's degree in HR, Business Administration, Finance, Economics, Data Science and related areas or at least 5-7 years working experience.
Preferably with Master's degree.
At least 5-7 years working experience with minimum 5 years or more in Global Mobility/HR function.
At least 3-5 years in-house working experience in Multinational Companies but external experience (i.e., serviced centers, relocation vendors, tax vendors) will also be considered in relevant working fields.
Taken on Project lead roles relating to Mobility processes or implementation.
Regular involvement/participation in various project work for client or in-house will be highly considered.
Able to work independently and coach junior consultants.
Have experience working with international teams both locally and remotely for at least 3-5 years.
Overseas working experience will be a positive advantage.
