Responsibilities
* Conduct weekly inspection of the entire office space and report any issues to the workplace manager.
* Manage office security including visitor and employee access, and maintain the checklist for access card activation and reactivation.
* Oversee office services such as cleaning, potted plants, and pest control.
* Coordinate and monitor activities of contract suppliers, manage vendor relationships, and ensure the signed contract checklist is updated regularly.
* Assist the workplace manager in managing coworking clients, including managing the booking system, liaising with finance for invoices, and communicating with clients.
* Support procurement activities such as issuance of Purchase Orders, receiving goods and services, and payment of invoices.
* Provide front desk services including mailing and courier services, stationery supplies, and answering telephone calls.
* Manage travel arrangements including transportation, accommodation, and liaising with hotels for corporate discounts.
* Oversee pantry services including maintaining beverage inventory and liaising with vendors.
* Ensure food storage organizers and utensils are provided in pantry areas.
* Provide sufficient supply of groceries such as dairy products, coffee, drinking water, and snacks.
* Support other workplace administrative tasks as assigned by the supervisor.
Qualifications
* Minimum 1 - 3 years’ experience in Facilities / Administration / Workplace Assistance / Procurement Assistance.
* Proficient in MS Office (MS Word / Excel / PowerPoint).
* Strong communication and negotiation skills.
* Excellent planning and organizational skills.
* Good problem analysis skills and decision-making ability.
* A ‘can do’ attitude towards challenges and problem-solving.
* Customer service orientation and team player.
* Able to communicate and write in English.
Education
* Bachelor's Degree or Diploma in Property Management, Real Estate, Business Administration, or a related field.
