ABOUT US:
Shaken Not Stirred is a company founded in 2019 with the mission to empower future generations by developing and implementing innovative education projects. Our two flagship initiatives are 42 em Portugal and TUMO Portugal.
42 is one of the world’s leading coding schools, with over 52 campuses across 31 countries. It’s an inclusive school open to anyone, regardless of academic background or professional experience. The school employs a disruptive, peer-to-peer, project-based learning methodology with no classes, no teachers, and no schedules, boasting a 100% employability rate for its students. 42 Lisboa was launched in July 2020 by Shaken Not Stirred and has received almost 60,000 applications since then and +1000 students have passed by. A second 42 campus opened in Porto in July 2022 with +600 students started. In 2024, Shaken Not Stirred implemented at 42 Porto the SEA:ME Program - a 1-year Master's-level program in mobility software engineering, developed and owned by the Coding School 42 Wolfsburg in collaboration with industry leaders.
TUMO is a creative technologies center founded in Armenia, now present in over 10 countries. Aimed at young people aged 12 to 18, TUMO complements formal education by offering opportunities to develop skills in areas such as Music, Robotics, Animation, Game Development, Programming, Photography, Cinema, and Graphic Design. Each student follows a personalized learning path based on their progress and interests, guided by learning coaches and experts. The first TUMO center in Portugal opened in Coimbra in September 2023, and the second one in Lisboa in September 2024, each serving 1,500 students. The next one is going to open in Porto in September 2025, with plans for 10 centers nationwide and discussions already underway for expansions to Braga, Évora, and Portimão.

ABOUT THE ROLE:
The HR Operations Specialist will be the backbone of the People team, ensuring the seamless management of essential HR processes that support our growing organization. From payroll and compliance to employee data and contractual documentation, this role will focus on maintaining operational excellence and accuracy. Reporting to the Head of People, the HR Operations Specialist will also play a key role in ensuring all employee-related processes are efficient and aligned with organizational goals. The main responsibilities include:
Payroll Management
* Supervise and oversee the end-to-end payroll process to ensure accuracy and timeliness in salary calculations, deductions, and disbursements.
* Coordinate with external payroll providers to address queries, ensure compliance with local tax regulations, and resolve discrepancies promptly.
* Monitor payroll schedules, maintain payroll-related records, and ensure all payments are processed within the stipulated timelines.
Benefits Administration
* Manage the administration of employee benefits, including travel allowances, overtime tracking, performance bonuses, and other entitlements.
* Review and process benefit-related claims, ensuring compliance with company policies and legal guidelines.
* Act as the point of contact for employees to address questions or concerns regarding their benefits.
IEFP Processes Management
* Oversee and manage all processes related to IEFP programs, including the submission of necessary documentation and adherence to program requirements.
* Monitor deadlines and ensure timely compliance with IEFP reporting obligations.
* Act as a liaison between the organization and Accounting to address any issues or inquiries.
Onboarding & Offboarding
* Coordinate and facilitate all administrative tasks during the onboarding process, such as preparing contracts, collecting documentation, and ensuring new hires sign required forms.
* Organize and track the completion of onboarding procedures to ensure a smooth transition for new employees.
* Handle administrative aspects of offboarding, including finalizing paperwork, managing exit documentation, and ensuring compliance with termination protocols.
* Ensure all relevant company assets are returned, and employee data is archived securely after termination.
Employee Data Management
* Maintain and regularly update employee records in internal HR Systems, ensuring all data is accurate, up-to-date, and confidential.
* Generate and present HR-related metrics and reports, such as turnover rates, employee demographics, and other key insights, to management as required.
* Implement data protection measures to safeguard sensitive employee information.
Compliance & Legal Documentation
* Draft, review, and manage employment contracts, contract amendments, and related HR documentation.
* Ensure all employee documentation complies with local labor laws and internal organizational policies.
* Stay updated on regulatory changes and implement necessary updates to maintain compliance.
* Collaborate with legal teams or advisors when necessary to ensure HR practices align with legal requirements.
WHAT YOU BRING:
* Passionate about driving excellence in HR operations, fostering employee satisfaction, and championing compliance with labor laws.
* Experience: Minimum of 2 years in HR operations, payroll administration, or benefits management.
* Profile: Detail-oriented, tech-savvy, and knowledgeable in labor laws and HR systems.
* Attitude: Proactive, responsible, and committed to fairness and confidentiality in all tasks.
* Organizational Skills: Highly organized with the ability to manage deadlines and maintain accurate records.
* Communication Skills: Clear and empathetic communicator skilled in addressing employee needs and liaising with external partners.
* Knowledge in Payroll Systems: Proficient in using payroll software and systems to ensure timely and accurate salary disbursements (Knowledge of Primavera and Factorial RH is a big plus).
* Advanced knowledge in MS Office is mandatory.
* Collaborative Spirit: Strong interpersonal skills and ability to work closely with the People team and other stakeholders.
* Fluency in Portuguese and English.
