Position Overview
The Bid Specialist plays a key role in ensuring that all submitted bids are fully compliant with the formal requirements set out in the bid specifications, particularly in public tenders. This role involves meticulously reviewing, editing, and finalising bid documentation to ensure that all legal, regulatory, and technical stipulations are correctly addressed. The Bid Specialist is responsible for preventing any issues that could raise questions about compliance with bid requirements, ensuring that the company’s proposals are professional, accurate, and compliant.
Key Responsibilities
* Bid Review: Thoroughly examine bid documents, including specifications, terms, and conditions, to ensure full compliance with formal requirements.
* Compliance Check: Cross-check all bid submissions against the specified requirements in the bid invitation to ensure no detail is overlooked. Ensure all documentation aligns with the bid’s formal requirements, including deadlines, formats, and required signatures.
* Documentation Management: Ensure that all necessary documents are included in the bid, formatted and organised correctly. This includes certificates, approvals, technical data, financial records, and any other relevant supporting materials.
* Coordination and Communication: Collaborate with internal teams, such as project managers, engineers, and sales teams, to gather the necessary information and ensure that the bid is accurate and complete.
* Bid Updates and Amendments: Manage amendments or clarifications during the bidding process, ensuring that revised documents continue to meet formal compliance standards.
* Error Identification: Identify and rectify any formal errors, inconsistencies, or missing information that could jeopardise the submission or cause issues during the evaluation process.
* Final Submission Preparation: Ensure the bid is ready for final submission, double-checking for completeness, accuracy, and compliance with all bid specifications and deadlines.
* Continuous Improvement: Keep up-to-date with formal bid submission requirements and industry best practices to continually improve the bid process.
Required Qualifications
* Education: Bachelor’s degree or equivalent experience in a related field (e.g. legal, business administration, engineering, or project management).
* Experience: At least 3 years of experience in bid preparation, proposal management, or a similar role, with a strong emphasis on formal compliance and documentation review.
* Attention to Detail: Strong attention to detail and a thorough approach to reviewing documentation.
* Organisational Skills: Excellent organisational skills, with the ability to manage multiple bids simultaneously and meet tight deadlines.
* Communication: Clear, professional communication skills to collaborate effectively with internal teams and external stakeholders.
* Technical Knowledge: Proficiency in MS Office (Word, Excel, PowerPoint). Familiarity with bid software and document management systems (desirable).
* Language Abilities: Proficiency in English, with the ability to communicate effectively both in writing and verbally.
* Experience with legal and contractual documentation.
* Knowledge of industry standards and regulations related to bidding processes, particularly within the Bus and Truck sectors (desirable).
Working Conditions
* Full-time position with standard working hours. Occasional overtime may be required to meet bid submission deadlines.
* Office-based or hybrid, with flexibility as required by the business.
