Who You Are
Project coordinators at Jolera work closely with project team members, managers, and stakeholders, assisting in the delivery of professional service projects of varying levels of complexity. They manage administrative tasks, such as documentation and information distribution, compiling report details, project communications, and driving organizational aspects of a project, always with a heightened sense of urgency in a very busy PMO environment.
What You Will Do
1. Support a team of project managers
2. Plan, organize, follow up on daily activities to ensure project deadlines are consistently met.
3. Organize and attend various stakeholder meetings
4. Take meeting minutes and distribute to participants
5. Document and follow up on important project actions and decisions from meetings
6. Coordinate project resources
7. Prepare project materials in partnership with project managers
8. Collect information for project updates
9. Keep all project notes up to date
10. Perform billing tasks
11. Participate in forecasting the probability of meeting milestone dates with project managers and senior management.
12. Create and follow up on Change and Procurement requests
13. Proactively identify and escalate issues and risks that may impact project success
14. Ensure internal systems are kept up to date with project status, enforcement of project time entries.
15. Provide administrative support for assigned projects as assigned
Qualifications
1. Minimum 3 years of IT project coordination experience
2. Experience supporting multiple project managers at a time
3. Experience managing priorities across multiple projects at the same time
4. Exceptional ability to keep track of tasks, deadlines, and progress
5. Task and results driven, strong ability to multitask, with a heightened sense of urgency
6. Knowledge and demonstrated experience in administrative procedures
7. Ability to work in a fast-paced environment with tight timelines
8. Strong communication skills
9. Excellent organizational and analytical skills
10. Strong attention to detail
11. Minimum intermediate level knowledge of MS Office tools including Excel, Word, PowerPoint, and some form of project management tool such as MS Project
12. Experience in distributed deployment projects including hardware and software implementations across multiple sites, regions, and time zones
13. Experience working in a collaborative environment, preferably for an IT consulting firm
14. Ability to communicate effectively with team members and clients located globally with varying communication styles from a broad spectrum of disciplines
15. Fluency in Portuguese, both spoken and written, as well as strong presentation skills, is required
16. Ability to work independently and as part of a team
Working Conditions
• Position requires the incumbent to work remotely, requiring an environment that will allow for internal and client meetings at varying times of the workday.
• Overtime may be required to meet project deadlines.
