Our client is a leading company in the pharmaceutical industry that is looking for an Office Manager, for a temporary position with the possibility of staying.
Principais responsabilidades
Provide comprehensive administrative assistance to the CEO and Board of Directors, including managing calendars, scheduling meetings, and preparing materials for board meetings.
Coordinate travel arrangements, itineraries, and event logistics.
Prepare presentations, reports, and documents for executive use.
Manage and prioritize communications, ensuring timely responses and proper documentation.
Oversee the day-to-day management of the office, ensuring a well-organized, efficient, and productive work environment.
Manage office supplies, equipment, and vendor relationships.
Handle general office administrative tasks such as scheduling, correspondence, and record-keeping.
Ensure the smooth operation of office systems and processes.
Assist with HR-related tasks such as onboarding new employees, maintaining employee records, coordinating employee benefits and mandatory training sessions.
Help with recruitment by coordinating interviews, managing candidate communications, and supporting the hiring process.
Ensure compliance with company policies, labor laws, and employment regulations.
Support the planning of company events, team-building activities, and employee engagement initiatives.
Collaborate with various departments to ensure the flow of information and operational efficiency.
Assist in special projects and ad-hoc tasks as needed by the CEO and executive team.
Perfil desejado
Educational Background:
Bachelor's degree in business administration, Human
Resources, or a related field is preferred.
Experience:
5+ years of experience in administrative assistance, office
management, or a related administrative role, preferably with exposure to HR functions.
Experience working in a fast-paced environment, supporting C-suite executives
and managing office operations.
Familiarity with board governance, meeting coordination, and minute-taking is
an advantage.
HR Experience:
Exposure to HR processes, including recruitment, onboarding,
and employee relations. Understanding of labor laws, employment regulations, and best practices in HR management.
Proactive and dynamic profile;
Oriented for solutions;
Availability to work in a temporary project with the possibility of staying
