Job Description
Our client is a multicultural entrepreneur family, founded and developing successful companies. We are seeking an Executive Personal Assistant to help manage their daily life (corporate and personal).
Responsibilities
* Personal and Family Support:
o Manage personal agenda and optimize time management.
o Make personal travel arrangements.
o Handle personal email and WhatsApp communications.
o Manage main and secondary residences in Portugal.
o Take inventory, shop online and offline, and manage parties and events.
o Plan family activities (after school, pickups, dropoffs, hobbies, engagements).
o Oversee personal finances (payments, tracking).
o Manage house staff and service providers (garden, pool, etc.).
o Maintain physical and digital archives and complete administrative tasks.
o Manage insurances (sourcing, tracking, annual renewals).
* Executive and Corporate Support:
o Manage agendas and plan meetings.
o Arrange professional travel.
o Coordinate events and logistics.
o Handle professional email and WhatsApp communications.
o Prepare reports, meeting notes, and presentations.
o Conduct research and gather information as needed.
o Collaborate with other departments and executives.
o Support public speaking engagements, interviews, social media events, and seminars.
Ideal Profile
* Bachelor's degree in Business Administration or relevant field.
* Seven years of experience in similar roles (assistant to CEOs, C-Suite executives, personal assistant, family assistant).
* Excellent English skills (written and oral).
* Good Portuguese skills (written and oral).
* Knowledge of Korean or French is highly valued.
* Outstanding organizational skills.
* Detail-oriented and solution-focused.
* Solid knowledge of MS Office, including Excel.
* Able to work autonomously, flexibly, and adaptably.
* Proactive and results-driven.
* Multicultural background and interest in diverse cultures.
* Excellent listening skills.
* Driving license.
